What data does Rostrum hold?

One of our clients may have passed your personal data onto us as part of our business activities together. This data could include, but is not limited to, your name, contact details (such as email addresses and telephone numbers) and information pertaining to products or services you have purchased from our client.

We will only ever handle your personal data upon written request from our client, and we request that all our clients inform you before passing your data across to us. We will handle your data with all due diligence and uphold the same security or privacy requirements as you would receive from our client. If we are not able to guarantee this, we will not process your data.

Why does Rostrum hold my data?

Rostrum is contractually obliged to process your personal data where requested by our clients. We may have been provided your personal data for a number of reasons, including, but not limited to:

  • To contact you for further information about your experience with our client
  • For the distribution of marketing material such as newsletters
  • To liaise between yourselves and a member of the media

In some circumstances we may be required to pass your personal data onto third parties such as journalists or market research agencies. Your data will only be transferred upon written confirmation from our client for us to proceed. Upon request, either from yourselves or our client, we will contact any third parties that have received your data from us and request for it to be deleted on your behalf.

Where does Rostrum store my data?

Any personal data we hold is stored on our SharePoint server. This information is only accessible to Rostrum employees who have a business requirement to access your data and information. Any data that is accessed outside of the SharePoint server is done so on a secure, encrypted device and promptly deleted, or uploaded onto the SharePoint server as soon as practically possible.

How long will Rostrum store my data for?

Rostrum will store your personal data for up to 30 days following written notice from our client that it is no longer required, or if no such notice is received, 180 days upon initial receipt of the data. If our client needs us to hold your data for longer they will need to inform us every 180 days, otherwise we will delete your data as outlined within this policy.

How can I access this data?

If you have any questions concerning personal data that Rostrum handles, including but not limited to:

  • Your right to access
  • Your right to correct
  • Your right to knowledge
  • Your right to object
  • Your right to deletion

Please send this request to GDPR@rostrum.agency. We will revert with a Receipt of Request in 48 hours and provide a formal response within 28 days.
